Account Settings and Customization

The Settings view within your Philterd Data Services account provides several critical configuration options that allow you to tailor the platform's behavior to your organization's specific operational and security requirements.

To access these options, navigate to the Account menu in the sidebar and select Settings. Important: After adjusting any of the settings described below, you must click the Save Settings button at the bottom of the page for the changes to take effect.

Regional and Localization Settings

Timezone Configuration

By default, Philterd Data Services processes and displays timestamps in Coordinated Universal Time (UTC). To ensure that all dates and times shown across the dashboard—such as document upload times, ledger entries, and audit logs—are relevant to your local operations, use the Timezone setting. Selecting your specific timezone will automatically localize all displayed timestamps for your convenience.

API and Network Security

IP Address Restrictions

For organizations requiring the highest level of security, Philterd offers the ability to restrict API access based on the originating network location.

  • The Default State: By default, an API request with a valid key will be accepted from any IP address on the internet.
  • Enhanced Security: By specifying a list of authorized IP addresses or CIDR (Classless Inter-Domain Routing) ranges, you ensure that even if an API key is compromised, it cannot be used from an unauthorized network.
  • Configuration: Provide one IP address or CIDR range per line.
    • Example for a single IP: 123.123.123.123/32
    • Example for an entire network range: 220.221.222.0/24
  • Enforcement: Once saved, any API request originating from an IP not in your whitelist will be immediately rejected with an Unauthorized error, regardless of the validity of the API key provided.

Data Lifecycle and Retention Policies

Managing the lifecycle of your sensitive data is a critical aspect of compliance. Philterd provides granular controls over how long documents and audit trails are retained within our system.

Redacted Document Retention

This setting controls how long the processed and protected versions of your documents remain available for download from our secure storage.

  • Default Duration: 3 days.
  • Customization: You can adjust this period to be anywhere from 1 to 7 days.
  • Automatic Deletion: Once a document exceeds this retention period, it is permanently and irreversibly purged. We recommend downloading all critical output files before this period expires.

Redaction Ledger Retention

As part of your audit trail, redaction ledgers provide an immutable record of processing.

  • Default Duration: 7 days.
  • Extended Retention: Recognizing that audit requirements often exceed operational requirements, you can extend ledger retention up to 30 days.
  • Strategic Use: Maintaining ledgers longer than the redacted documents themselves allows you to maintain a verifiable audit trail of your data protection activities even after the actual files have been purged.

Advanced Auditing and Correction

Changesets and Human-in-the-Loop Review

Enabling the Changesets feature provides a mechanism for auditing and, if necessary, modifying the redactions performed by the automated engine.

  • Mechanism: When enabled, the platform stores a temporary record of the "diff" between the original and redacted text, along with the precise coordinates within the document.
  • Security Implication: Utilizing changesets requires Philterd Data Services to store the original (unredacted) document for a short period to allow for re-application of redactions with requested modifications. If your security policy prohibits the storage of original documents under any circumstances, this feature should remain disabled.
  • Utility: This is an essential feature for organizations that implement a manual "Review and Approve" stage in their redaction workflow.
